Excel to PDF Troubleshooting: Cut-Off Columns and Formatting Issues

The sheet is wider than the PDF page, so the columns past the right edge are clipped or pushed onto extra pages. Switch to landscape, reduce the margins, narrow the columns, or open Page Layout > Page Setup and set Fit To 1 page wide. The fit spreadsheet to one PDF page guide walks through it.

Blank pages come from formatting or old values far outside the table, because Excel prints everything it counts as used. Press Ctrl+End to see where Excel thinks the sheet ends, delete the unused rows and columns (clearing the contents is not enough if they keep formatting), and set the print area to the real range.

View > Page Break Preview shows exactly which pages will print.

Scaling shrinks everything equally. Text under about 7 to 8 points is hard to read, and 11 point text at 65% scale is already near that. Use landscape, a larger paper size, hide columns the reader does not need, or split the sheet into sections instead of scaling further.

Hidden rows and columns do not print, and neither do rows hidden by a filter. Unhide them if they should appear, and check that the print area includes them.

A numeric cell that is too narrow for its value displays ####, and the PDF shows what the sheet displays. Widen the column or reduce the decimals before converting.

Gridlines do not print by default. If you want them, turn on Page Layout > Gridlines > Print. To repeat the header row on every page of a long table, use Page Layout > Print Titles and choose the row to repeat at the top.

Charts, images and merged cells can move when the sheet is laid out on fixed pages. Keep them inside the print area, set them to move and size with cells, and avoid placing important visuals across a page break.
